8.1 Archie features

You can get help with using Archie for all the features mentioned here. This help is only available after you have logged into Archie.

8.1.1 Organiser, Resources and Search tabs

  • When you open Archie, you will see three tabs - 'Organiser', 'Resources', and 'Search'.
  • You can use 'Tools > Preferences' to customise Archie so that the tab you prefer opens when you log in.

Organiser

  • 'Organiser' shows a calendar, your Archie messages, and your ‘Tasks In Progress’.
  • 'Tasks In Progress' are tasks assigned to you by the workflow manager (usually your Managing Editor).

Resources

  • These are basic elements stored in Archie.
  • A person record is one type of resource, and a document is another.
  • The 'Resources' tab contains the Resources explorer, where you can use the Resources tree to browse to the resource you are looking for.
  • The tree view on the left shows all the folders.
  • The folder view on the right shows the contents of the current folder.
  • There is a toolbar just above the tree on the left side. You can choose what you want to view here. The options are 'Show all group', 'Show affiliated groups' (i.e. all those you have a role in), and 'Show primary group' (i.e. your Group)

Search

  • Archie has is a 'Quick Search' and an 'Advanced Search' option.
  • The 'Search' tab lets you search for people, entities, documents, workflows, tasks, and review versions.
  • The results of your searches can be viewed, exported, or printed.
  • Use Search to do things like finding all the authors for a review or all Information Specialists in Cochrane Groups.

8.1.2 Level of access and permissions in Archie

  • Archie can only be accessed by people with a Cochrane Account, and this is usually obtained by contacting the ME of a Group.
  • All Cochrane Account holders can view all public resources and edit their own records.
  • Additional permissions, such as checking out reviews, viewing reviews, or editing particular resources, are based on the user's roles.
  • Groups have 'Super users' who have full access to all resources belonging to an Entity. Entity Roles can be configured by the Super user to give permissions for some or all of the resources belonging to an entity.
  • The standard Group roles have been set up with default permissions.
  • By default, the Information Specialist role has maximum permissions for the Cochrane Register of Studies and to edit Group Properties and Folders (topics, subscriptions, to edit events in the group calendar, and delete files and folders).
  • The Information Specialist also has high level permissions to edit Group notes, create, edit and delete user accounts and start and edit workflows.
  • The super user for your Group (usually the Managing Editor) can change these permissions if required.
  • Your Review Group has a 'Properties sheet', which you can open by right-clicking the name of the Group in the 'Resources' tree view and choosing 'Properties'. It provides information about the Group. From here, you can access the Topics list and also see what permissions you have in Archie.
  • Your Group’s Topics List can also be viewed as a Report in Archie. To view it, right-click the name of your Group in the Resources tree view and choose 'Reports - Topics List'.
